Manager, Records Management & Archives
Responsibilities:
• Provide expertise, leadership and guidance to the College in the life cycle management of records
• Lead the RMA (Records Management & Archives) Program and manage the RMA staff (5 permanent staff, 1 contract staff and occasional temporary staff)
• Direct the development, implementation and maintenance of policies and procedures for managing College records
• Direct the development and delivery of training in RMA Program policies and procedures
• Monitor and report on compliance with RMA Program policies and procedures
• Monitor changes in Canadian (Federal) and Provincial legislation and any applicable standards to ensure the College’s RMA program remains legally compliant
• Negotiate contracts to acquire external services for managing records and manage contracts with external RMA service providers (i.e. commercial record centre)
• Research and proactively recommend new RMA program initiatives to ensure the College has an efficient and technologically current RMA program
• Review and process written requests to retain records beyond their approved disposition date
• Participate in external RMA associations and committees to keep abreast of changing industry best practices and standards for managing records and archives
Qualifications:
• Minimum 6-8 years RMA experience with at minimum 3-4 years in a supervisory capacity
• Experience in a regulatory or not-for-profit organization
• University degree in business administration, public administration, records management, archival studies or library / information science
• Certified Records Manager (CRM) preferred
• Demonstrated knowledge of principles for managing records and of Canadian (Federal) and provincial legislation affecting the management of records
• Proven experience in designing, implementing and maintaining RMA programs
• Project management skills with experience in implementing new programs
• Managerial capability and experience in leading a team
• Excellent communication and interpersonal skills
• Demonstrated research and analytical skills
• Proven ability in business case preparation and making presentations
• Strong customer service philosophy and quality driven
• Proficient computer skills in a Windows environment and experience in systems for managing records
